Checking DBS Applicants ID Documents

In uncertain times it’s important to be certain about the person you’re thinking of hiring, or your established workforce.

That means knowing what supporting documents are acceptable.

Getting it right first time also means avoiding costly delays down the line.

Remember, there are over 11 million people in the UK with criminal convictions.

Checking them at the appropriate and legally acceptable level, with the right combination of proofs of ID and address, is vital.

As an employer, you have a duty to validate your DBS check applicant’s identity. There are certain ID checking guidelines you must follow for your applicants.

Your applicants must provide you with original documentation, not copies

The ID documents needed will depend on which route the applicant takes

 


The Three Routes of DBS Checking


Route 1: The applicant must provide:

  • One document from Group 1
  • Two further documents from Group 1, or 2a or 2b

One of these documents must verify the applicant’s current residence


Route 2: If route one is not possible, the applicant must provide

  • One document from Group 2a
  • Two further documents from Group 2a, or 2b

One of these documents must verify the applicant’s current residence.

If this route is chosen, you must conduct an ID check through an appropriate external ID verification service.


Route 3: If route 1 and 2 is not possible, the applicant must provide

  • A birth certificate (UK, Isle of Man and Channel Islands)
  • One document from Group 2a
  • Three further documents from Group 2a or 2b

One of these documents must verify the applicant’s current residence.

Appropriate DBS Check Documents


Examples:

Group 1: Primary Identity Documents
  • Valid Passport
  • Current driving licence (full or provisional)
  • Birth certificate (UK, Isle of Man and Channel Islands)
  • Biometric residence permit (UK)
  • Adoption certificate (UK and Channel Islands)

Group 2a: Trusted Government Documents
  • Current driving licence (full or provisional)
  • Birth certificate (UK, Isle of Man and Channel Islands)
  • Immigration document, visa or work permit (issued by country outside the EEA)
  • Marriage or civil partnership certificate (UK and Channel Islands)
  • HM Forces ID card
  • UK Firearms Licence

Group 2b: Financial and Social History Documents
  • Mortgage statement (UK or EEA – issued in the last 12 months)
  • Bank or building society statement (UK, Channel Islands or EEA – issued in the last 3 months)
  • Bank or building society account opening confirmation letter (UK – issued in the last 3 months)
  • Credit card statement (UK or EEA)
  • P45 or P60 statement (UK and Channel Islands – issued in the last 12 months)
  • Utility bill (UK – not mobile bill – issued in last 3 months)
